Privacy Notice

This notice explains how the EdTech4BY website, BYEdtech Platform and related project activities process personal data.

1. Who is responsible for your personal data?

This Privacy Notice applies to the EdTech4BY public website, byedtech.eu; the BYEdtech learning platform, moodle.byedtech.eu; and EdTech4BY forms, events, applications and communications.

EdTech4BY supports Belarusian education, educators and EdTech development across borders. BYEdtech is its digital platform for learning, course creation, community participation and discovering educational tools.

2. What personal data do we process and why?

Data we use to provide the service

We process only the personal data necessary to operate the website, Platform, services and project activities.

Website, contact and application forms

Depending on the form, we may process your name, surname, email address, phone number, country of residence, organisation, role or professional background, and information you provide about a course, educational product, app or community application.

We use this information to respond to inquiries, assess applications, organise events, communicate with applicants and administer EdTech4BY activities.

Legal basis: our legitimate interests in operating and developing EdTech4BY; and, where applicable, steps taken at your request before entering into an agreement or providing a requested service.
BYEdtech Platform accounts and learning activity

When you create or use an account, we may process your name, email address, username, organisation, user role, optional profile information, course enrolments, learning progress, assessment results, certificates, badges, forum posts, messages, feedback and support requests.

We use this information to provide online learning, administer accounts and courses, issue certificates where applicable, provide support and maintain the Platform.

Legal basis: performance of a service requested by you, or steps taken at your request before providing that service.
Technical, security and usage data

We may process IP address, device, browser and operating-system information, login and security logs, dates and times of access, and information needed to detect technical problems or protect accounts.

Legal basis: our legitimate interests in ensuring security, availability and proper administration of the website and Platform.
Newsletters, updates and voluntary feedback

Where you choose to receive updates, we process your name, email address and communication preferences. We may also invite you to share voluntary feedback about courses, events, the Platform or project activities.

Legal basis: your consent, or our legitimate interests in evaluating and improving services where appropriate. You can unsubscribe or withdraw consent at any time.
Special-category data: We do not intentionally request or process special-category personal data, such as health information, religion, political views or ethnic origin. Please do not submit sensitive personal information unless we have specifically requested it and explained why it is needed.
3. Where data comes from, who receives it and how long we keep it

Sources, sharing and retention

Where we obtain data
• Directly from you when you register, submit a form, enrol in a course, attend an event or contact us.

• Automatically through security logs and strictly necessary cookies.

• From project partners only where this is lawful, necessary and relevant to a joint activity or event.
Who may access data
• Authorised LIC and EdTech4BY staff.

• Course administrators, tutors or event organisers where needed to provide a requested service.

• Technical providers supporting hosting, Moodle Workplace, email, forms, security, backups or event delivery.

• Public bodies, auditors or funding authorities where required for lawful project monitoring, reporting or audit.

Service providers process personal data only under documented instructions and appropriate contractual safeguards. We do not sell personal data.

International transfers

We aim to process personal data within the European Economic Area. Where a service provider processes data outside the EEA, we use an appropriate legal safeguard, such as the European Commission’s Standard Contractual Clauses, and apply additional measures where required.

You may request further information about relevant transfer safeguards by contacting edtech@lic.lt.

Retention periods

We retain personal data only for as long as necessary for the purpose for which it was collected, unless a longer period is required by law, funding rules or audit obligations.

Up to 12 months after the matter is resolved.
Course, app or community applications
Up to 24 months after a decision, unless longer retention is required for project reporting or audit.
Event registrations
Until the event is completed, plus up to 24 months for follow-up and reporting.
Newsletter data
Until you withdraw consent or ask us to delete your data.
Platform accounts and learning records
For the duration of your account and up to 5 years afterwards where needed for certification, reporting, audit or verification.
Technical and security logs
Normally 6–24 months, depending on security and operational needs.
Financial or contractual records
For the period required by applicable law.
4. Required information and automated decisions
Required and optional fields

Some information is necessary to create an account, enrol in a course, submit an application or receive a requested service. Required fields are identified in the relevant form.

If you do not provide required information, we may be unable to create an account, process your application, enrol you in a course or provide the relevant service. Optional fields may be left blank.

Automated decisions

We do not make decisions about you solely through automated processing or profiling that would have legal or similarly significant effects on you.

5. Your GDPR rights

Your choices and rights

Subject to applicable legal conditions, you have the right to:

Request a copy of your personal data.
Rectification
Ask us to correct inaccurate or incomplete data.
Erasure
Request deletion in certain circumstances.
Restriction
Ask us to limit processing in certain cases.
Objection
Object to processing based on legitimate interests.
Portability
Receive data you provided in a portable format, where applicable.
Withdraw consent
Withdraw consent at any time where processing is based on consent.
To exercise your rights, contact edtech@lic.lt. We may need to verify your identity before responding.

You also have the right to lodge a complaint with the State Data Protection Inspectorate of Lithuania or another competent data-protection authority in the EU or EEA country where you live or work.
6. Cookies and similar technologies

How cookies are used

The website and Platform use strictly necessary cookies needed for functions such as login, security, language settings and session management.

Optional cookies

Where optional analytics, preference or marketing cookies are used, they will be activated only after you provide consent through the cookie banner or Cookie Settings tool.

You can change or withdraw cookie consent through Cookie Settings. You can also manage cookies through your browser settings, although blocking strictly necessary cookies may affect website or Platform functionality.

7. Security, children and updates
Security

We use appropriate technical and organisational measures to protect personal data, including access controls, role-based permissions, secure connections, backups, system updates and incident-management procedures.

No online system can guarantee absolute security. We nevertheless take reasonable steps to protect personal data and continuously review our safeguards.

Children

The EdTech4BY website and Platform are intended primarily for adults and older students. We do not knowingly collect personal data from children under 16 based on consent without appropriate parental or guardian authorisation.

Changes to this notice

We may update this Privacy Notice when our services, legal requirements or processing activities change. The effective date at the top of this page shows when the latest version took effect.
